A Family Private Office, located in the Arabian Peninsular, is looking to employ a Personal Assistant who is responsible for providing a full spectrum of secretarial and administrative support to the Vice Chairman in day-to-day operations as well as personal matters.
The Personal Assistant may also assist in overseeing more general back-office administration, including but not limited to Legal, Technology, Office Administration and Public Relations.
The Family Private Office of The Chairman, Vice Chairman and wider family, is mandated to serve the following primary functions:
- Private Banking of the Family – Private Account Management on behalf of the Chairman and his Family.
- Wealth Management – Controlling liquidity and enterprise wealth management services, including strategy setting, portfolio compliance reviews, and performance and risk analytic reporting.
- Audit – Internal audit function for DAIC and external enterprise-wide audit services for ASAS, OSOOL and affiliates.
- Risk Management – Quality control services applied to critical processes and procedures, e.g. legal, tax, physical safety, travel-related risks, crisis management.
- Personal Representation – High level personal representation on behalf of the Chairman and his Family.

Roles and Responsibilities
Secretarial Duties, to include:
- Provide full spectrum of secretarial and administrative support to the Vice Chairman in both business and personal matters
- Prepare meeting minutes, management reports, presentation materials and meeting agenda etc. as requested
- Coordinate travel itineraries, transportation arrangement, flight scheduling and hotel bookings and expenses reimbursement etc.
- Schedule appointments and coordinate meeting arrangements
- Arrange family events and public events, invite guests, prepare required stuffs and follow up logistics
- Handle incoming and outgoing correspondences with internal and external parties
- Provide general support to senior stakeholders with regards to company guidelines, policies & procedures and any other regulatory issues
- Maintain the information flow among DAIC, parent company and any other affiliated companies
- Assist in any other ad hoc tasks as assigned
- Manage daily/weekly/monthly agenda
- Develop and maintain a filing system
Entry Requirements
- 5 years’ relevant experience, gained from family-owned enterprise or family business preferred
- Foundation knowledge in information technology and office administration
- Excellent interpersonal and communication skills, able to work effectively with all levels of internal and external stakeholders.
- Ability to handle multiple tasks simultaneously, problem solving, manage work volume and meet deadlines whilst maintaining a high quality of work
- Able to work independently with minimal supervision.
